AI software for Australian advice practices Built inside a working practice

For principals, licensees, operations & compliance leaders

AI infrastructure for advice practices under pressure.

Turn the advice file from a bottleneck into a managed workflow. Eight connected tools — built inside a working Australian practice — that cut advice-production time, lift capacity and strengthen compliance evidence, with a human approving every output.

The economics of advice are under strain.

28k → 15.5k

Australian financial advisers have almost halved since 2019 — from ~28,000 to under 15,500.

1 in 10

Only about one in ten Australians now receive professional financial advice.

+67%

Median ongoing advice fees are up about 67% over five years — Adviser Ratings attributes it to a mix of inflation, higher practice costs, adviser supply constraints, and the growing time to meet compliance and documentation obligations.

Fewer advisers, unmet demand, and a rising cost to serve each client. Practices can’t hire their way out — they need capacity, process leverage and compliance-safe automation. That is the gap this suite is built to close.

Four reasons it stacks up for management.

Capacity

More advice with the team you have

Advisers and support staff spend less time on manual document work — fact-finds, drafting, file notes, forms — and more on clients and judgement.

Consistency

Repeatable files, less key-person risk

The same workflow runs on every matter, so files vary far less between staff and the house view is applied the same way each time.

Compliance

Evidence built in, not bolted on

Every AI output is human-approved, with audit trails, PII controls and clearer file evidence. Compliance becomes a by-product of the workflow, not a clean-up job.

Economics

Scale without simply adding headcount

More clients served per adviser and per support hour — changing the unit economics of advice, not just the workload.

One workflow, end to end.

Eight tools mapped to the six stages of an advice file — each strong on its own, stronger connected, with Client-Base.ai holding the whole file.

01

Client intake

Capture the enquiry, the risk profile and the full fact-find — before the first meeting.

02

Research & house view

A current, evidence-linked house view across 700+ companies and ETFs feeds every file.

03

Advice preparation

A compliant Statement of Advice drafted in about an hour, ready for adviser review.

04

Compliance record

A spoken meeting becomes an audit-ready file note, checked against ASIC, the Corps Act, APRA and the licensee manual.

05

CRM / client file

The hub — CRM plus portfolio monitoring — that everything feeds into and out of.

06

Implementation & follow-up

Workflows routed to the right people; provider forms pre-filled and sent for e-signing.

Each tool stands alone. Together they run the whole file.

A client comes through the front door. By the time you sit down with them the work has started — and it keeps moving, tool to tool, with Client-Base.ai holding the whole file.

A reviewable SoA draft in ~1 hour

File consistency

Varies with whoever did it

One repeatable workflow, every time

Compliance evidence

Reconstructed at review time

Audit trail captured as you work

Pre-filled, routed and e-signed

Capacity

Capped by headcount

More clients per adviser

Start with one workflow. Measure the result.

No big-bang rollout. Pick the workflow with the most drag — usually advice preparation or file notes — run it for a defined period, and measure four things.

Time saved

Hours per file, before vs after.

Compliance quality

Fewer gaps and cleaner evidence at review.

Staff adoption

Whether the team actually uses it.

Client experience

A faster, smoother onboarding.

Built compliance-first, with a human in the loop.

Human-approved

Every AI output is reviewed and signed off by an adviser before it is used or sent to a client.

Audit trails

Each file carries a record of what was produced, checked, changed and approved.

PII controls

Personal information is stripped before any external lookup; access is role-based and encrypted.

Australian-first

Built around Australian advice obligations — the dates, documents and evidence you are judged on.

Data residency

Client records are stored and hosted in Australia — Microsoft Azure, Sydney (Australia East) — encrypted in transit and at rest.

Privacy Act & APPs

Designed around the Privacy Act 1988 and the Australian Privacy Principles for collecting, handling and disclosing personal and sensitive financial information.

Advice record-keeping

Audit trails and retention controls aligned to the seven-year advice record-keeping obligation under the Corporations Act.

AI processing

AI steps run on established enterprise providers under terms that prohibit training on your data; where processing occurs outside Australia the data sent is minimised and personal identifiers stripped where the workflow allows.

Hosting and encryption details reflect the suite’s current build; this is not legal advice — confirm specifics with your licensee and privacy obligations.

Is our client data safe?

Client records are stored in Australia (Microsoft Azure, Sydney), with role-based access and field-level encryption. PII is stripped before any external or web step, and your data isn’t used to train AI models.

Where is our data stored — does it leave Australia?

Your client records are hosted and stored in Australia (Azure, Sydney). AI processing runs under enterprise terms that prohibit training on your data; where any processing occurs outside Australia, the data sent is minimised and personal identifiers stripped where the workflow allows.

Does AI replace adviser judgement?

No. Every output is a draft for a human to review, edit and approve. The adviser stays in the reviewer’s seat on advice, file notes and anything sent to a client.

How does compliance approval work?

Outputs are checked against the rules — ASIC, the Corps Act, APRA and your licensee manual — gaps are flagged for the adviser to resolve, and the sign-off is recorded in the audit trail.

Can we adopt the tools one at a time?

Yes. Each tool earns its place on its own. Start with one workflow, prove it, then connect the next — Client-Base.ai ties them together as you go.

How does it fit our current process?

The tools map to the stages you already run — intake, advice, compliance, CRM, implementation — so you’re formalising your process, not replacing it.

What does a pilot look like?

One workflow, a defined period, and clear measures: time saved, compliance quality, staff adoption and client experience. Then you decide.

Built inside a working Australian practice.

Juggler wasn’t designed in a software lab. It’s the operating layer Scott Ayres built to run his own Australian advice practice — which is exactly why it understands the operational pain management actually carries: the compliance load, the document grind, the capacity ceiling.

Powered by AI, but disciplined by human review and Australian compliance practice. The tools are in daily use, not on a roadmap.
